Commission reconciliation for agencies on HawkSoft

HawkSoft handles downloaded and spreadsheet statements itself. The statements most worth a second look are often the ones that arrive as PDFs and get typed in.

In short

  • Lapidar has no HawkSoft integration. It works from files: a book export, your commission schedule, and the statements your carriers sent.
  • Statements: CSV, XLSX or PDF with selectable text. Book and schedule: CSV or XLSX.
  • Statements about HawkSoft below come from HawkSoft’s own public pages, cited on our HawkSoft comparison (checked 12 Oct 2026).

How statements reach HawkSoft

HawkSoft’s commission management overview describes three routes: statements carriers send by download land on a Reconcile Statements tab; spreadsheet statements can be imported with the Commission Importer and matched to client and policy where possible; and paper or PDF statements are entered by hand. Commission rules per agent position and an Agent Payout tab cover producer pay, and operating accounting sits in QuickBooks.

Which statements to bring

The PDF statements you key in by hand are the obvious start: typing is where a figure slips, and Lapidar reads a PDF with selectable text directly. The spreadsheets you would feed to the Commission Importer can go to Lapidar unchanged, as CSV or XLSX. For carriers that download into HawkSoft, bring the carrier’s own statement file if the carrier’s site offers one; Lapidar reads nothing out of HawkSoft. Scanned PDFs can’t be read (no OCR).

The book export from HawkSoft

We did not find a public HawkSoft page describing a policy list export, so we don’t name one. Any listing with one row per policy that saves as CSV or .xlsx works; an .xls file needs saving as .xlsx first.

Whatever report you use, Lapidar needs one row per policy, with columns for carrier (named the way you name it in your schedule), policy number, line of business, new or renewal and written premium; insured name, effective date and number of installments help if you have them. The first time, you tell Lapidar which column is which. Policy numbers that differ from the carrier’s only by dashes, spaces, a renewal suffix or leading zeros (after any prefix you list) are matched automatically. Files can be up to 20 MB.

Producer pay stays in HawkSoft

Lapidar checks what carriers paid the agency. It does not calculate what you owe producers, so your commission rules and Agent Payout tab keep doing that job. Findings come with the statement page and row and a printable report per carrier; corrections go back into HawkSoft by hand.

Every supported format and limit is on the product page; the output is on the sample report (invented data). Weighing reconciliation options for HawkSoft rather than files? See HawkSoft: your options.

Frequently asked questions

Can I upload the same spreadsheet I import into HawkSoft?

Yes, if it is CSV or XLSX. Lapidar takes the statement as the carrier sent it; you match its columns once and Lapidar remembers them for that carrier.

Does Lapidar read my downloaded statements from HawkSoft?

No. Lapidar has no HawkSoft integration and reads nothing from it. Bring the carrier’s own statement file where the carrier offers one.

Is Lapidar affiliated with HawkSoft?

No. Lapidar is independent and not affiliated with, endorsed by or sponsored by HawkSoft. HawkSoft is a trademark of its owner.
