# Commission statement period

A commission statement period is the span of time a carrier’s commission statement covers, usually a calendar month, which decides which transactions should appear on it and which month the payment is booked to.

## What it means

Carriers close their books on their own schedule, so a statement “for March” may include transactions processed in late February and leave out late March ones. Agency systems record the month too: Applied Epic’s help page on [adding a direct bill commissions reconciliation](https://help.appliedsystems.com/Help/Epic/2023.2en-US/General_Ledger/Reconciliations/Recs_Add_Direct_Bill_Rec.htm) describes the accounting month on a statement as follows: “This is the month in which the commission check was or will be received.”

How it works: each statement covers one period; lines for earlier periods (backdated endorsements, late cancellations, audits) still arrive on the current statement. Comparing a statement with the wrong month of your book makes policies look missing when they are just in the next period. Installments make this sharper: on [installment billing](https://getlapidar.com/glossary/installment-billing/), only the installments due in the period should be paid on it.

On a checked statement

The sample report shows how a statement check marks lines like this one: missing, underpaid, charged back or paid twice, each set against the expected amount. Example data, no account needed. ## How it shows on a commission statement

The period is usually printed in the header (a statement date, a month, or from and to dates). Individual lines carry their own [effective and transaction dates](https://getlapidar.com/glossary/effective-date-vs-transaction-date/), which may fall outside it.

### In reconciliation, and what Lapidar does

Lapidar infers the period from the due or effective dates printed on the positive lines, rounded out to whole calendar months; chargebacks are left out because they point back to earlier terms. A policy in your book with no installment due in that period, and nothing on the statements, is not reported as missing. On installment policies, only the installments due in the period are expected. The printable report for each carrier shows the statement period at the top.

## Example

**Example data: a March statement against an invented book.**

| Policy | Due | Period | Commission |
| --- | --- | --- | --- |
| EX-82101 | Mar 4 | Yes | 144.00 |
| EX-82102 | Mar 22 | Yes, not paid | — |
| EX-82103 | Apr 2 | No, next period | — |
| EX-82090 (Jan endorsement) | Jan 15 | Earlier period, paid now | 36.00 |
| Total paid | | | 180.00 |

Only EX-82102 is missing from this statement. EX-82103 belongs to April, and the January endorsement is a late line, not a duplicate.

## Common mistakes to check

- Comparing a statement with the wrong month of the book, so next month’s renewals look missing.
- Treating a late line for an earlier period as a duplicate payment.
- Expecting all installments of a policy on one statement.

## Questions

### What period does a commission statement cover?

Usually one calendar month, but each carrier closes on its own date. The period is printed in the statement header.

### Why are there old transactions on this month’s statement?

Backdated endorsements, late cancellations and audits are paid when the carrier processes them, so they can appear several periods after their effective date.

### Why does a renewal I expected not appear?

It may fall in the next period. Check its due date before calling it missing.
