# Outsourced commission reconciliation vs software

Three ways an independent agency can get carrier commissions checked: staff, an outside firm, or software. What each covers, and when outsourcing wins.

By Lapidar, the team building it · October 12, 2026

## In short

- An agency can check carrier commissions in three ways: someone on staff does it, an outside firm does it, or software does the matching and someone on staff reviews the result.
- Outsourcing hands over the work itself, often together with bookkeeping, trust accounting and month-end close. Software like Lapidar hands over only the matching; a person in the agency still reviews findings and talks to carriers.
- If nobody in the agency has time to review findings, or you need full accounting rather than a commission check, an outside firm is likely the better fit.

Search for insurance commission audit services or agency accounting outsourcing and you will find firms that take the whole job off your desk. That is a real option, and for some agencies the right one. This page compares three ways of getting the work done, by category. It names two outside services only to show what such services publicly describe; it does not rank them.

## Side by side

**General description by category. Engagements differ; confirm scope and price with any provider.**

| Question | Staff in the agency | Outside firm | Lapidar |
| --- | --- | --- | --- |
| Who does the matching | Your staff, by hand or in a spreadsheet | The firm’s staff, in your systems or theirs | The software, from statements and a book export you upload |
| Who reviews and contacts carriers | Your staff | Depends on the engagement; ask what is included | You. Lapidar never contacts carriers |
| Scope beyond commissions | Whatever your staff covers | Often bookkeeping, trust accounting, agency bill, month-end close | None: no bookkeeping, payroll, producer pay or bank matching |
| Access to your data | Stays in the agency | The firm usually needs access to your AMS, accounting or bank systems | Only the files you upload; no AMS connection |
| Price | Staff time | Quoted by the provider; the services we checked publish no list price | [$99 a month plus tax](https://getlapidar.com/pricing/) (founding pilot), plus your review time |
| Track record | Your own | Established providers exist; ask for references | None yet: new, no customers or published results |

## Staff in the agency

An account manager or bookkeeper ticks off statement lines against the agency management system. It needs no outside contract and keeps knowledge of your carriers in-house. It also depends on that person having the hours every month, and on starting from the book, not only the statements, to catch commission that never arrived. Our guide on [what a careful reconciliation has to check](https://getlapidar.com/guides/how-to-reconcile-carrier-commission-statements/) lists the steps.

## An outside firm

Outside providers range from insurance-specific business process outsourcing firms to accounting services offered alongside an agency management system. What two of them publicly describe, as checked on 13 October 2026:

- **ReSource Pro** announced on 18 March 2026 an expanded revenue management services suite for agencies, including Agency Bill (premium accounting, reconciliation, trust accounting and commission processing) and Direct Bill Complete, described as combining automation with expert teams to reconcile direct bill commissions. The announcement does not state a price. [Source](https://www.resourcepro.com/news/resource-pro-expands-revenue-management-services-suite/).
- **HawkSoft Managed Accounting** is described in HawkSoft’s brochure as bookkeeping by certified bookkeepers trained in insurance accounting, with three service levels (Elite, Preferred, Essentials). Commission reconciliation appears in its service menu. The brochure says “Ask about bundle pricing” and lists no price. [Source (PDF)](https://www.hawksoft.com/marketing/brochures/hawksoft-managed-accounting.pdf).

Neither page publishes a list price, so we don’t quote one. Ask any provider how it charges, what it delivers each month, and who follows up with carriers.

## When outsourcing is the better choice

- **Nobody in the agency can own it.** Software produces findings; someone still has to review them and write to carriers. If no one has that time, a firm that does the whole job fits better.
- **You need full accounting.** Bookkeeping, trust accounts, agency bill receivables, payroll and month-end close are outside what Lapidar does.
- **Your statements are scans.** Lapidar can’t read scanned PDFs; a human team can.
- **You want an established provider.** Lapidar is new, in a founding pilot, with no published results.

## When software fits

If someone in the agency already reconciles, or could spend some time each month reviewing a list of findings, software takes over the matching and leaves the decisions with you. Lapidar reads CSV, XLSX and text PDF statements, matches them to your book export, and reports missing, underpaid, paid-twice and charged-back commission, each tied to the statement line it came from. Your data stays in the files you upload. The [product page](https://getlapidar.com/commission-reconciliation-software/) lists what it reads and what it doesn’t, and the [sample report](https://getlapidar.com/sample-report/) shows the output with invented data. You can also use both: software for the monthly check, an accountant for the books.

## How to choose

- Decide whether you want to hand over the work, or keep the work and hand over the matching.
- List what you need beyond commissions. If it is bookkeeping or trust accounting, talk to an outside firm.
- Ask any option whether it checks from the book, so a renewal that never paid is found. See [missing renewal commissions](https://getlapidar.com/guides/missing-renewal-commissions/).
- Compare with the other alternatives: [spreadsheet vs software](https://getlapidar.com/compare/spreadsheet-vs-commission-reconciliation-software/) and [named software options](https://getlapidar.com/compare/insurance-commission-software/).

## Frequently asked questions

### Can I outsource commission reconciliation for my insurance agency?

Yes. Insurance outsourcing firms and some agency management system vendors offer commission and direct bill reconciliation, often as part of wider accounting services. Pricing is usually quoted per agency; the two services we checked on 13 October 2026 publish no list price.

### Is commission reconciliation software a replacement for an accountant?

No. Lapidar matches carrier statements to your book and reports discrepancies. It does no bookkeeping, trust accounting, payroll or tax work, and it never contacts carriers for you.

### When is outsourcing better than software?

When no one in the agency has time to review findings and follow up with carriers, when you need full agency accounting, or when your statements arrive as scanned PDFs, which Lapidar cannot read.

### How much does Lapidar cost?

USD 99 a month plus any applicable sales tax or VAT, on the founding agency plan described on the pricing page.
