# Commission reconciliation software for independent insurance agencies

Upload your book, your commission schedule and the statements carriers sent. Lapidar checks every line and shows what is missing, underpaid, paid twice or charged back, with the page and row behind each finding.

## In short

- Lapidar is web software for US independent P&C agencies. It checks carrier commission statements line by line against your book of business and your commission schedule.
- It reports commission that is missing, underpaid, paid twice, charged back, overpaid, or paid on a policy that isn’t in your book, each with the statement page and row behind it.
- Statements go in as CSV, XLSX or text PDF; the book and schedule as CSV or XLSX. No AMS integration and no OCR for scanned PDFs yet.
- Founding pilot: USD 99 a month plus applicable tax, 7 agencies, cancel anytime. No customers or published results yet.

Commission reconciliation software exists for one reason: carriers pay in their own formats, on their own schedules, and the only way to know whether you were paid what you earned is to compare every line with what your book and your agreements say. Done by hand, that comparison is a monthly afternoon per carrier, and the things it most often misses are the ones that leave no line at all. Lapidar does the comparison and hands you the differences. You decide what to raise.

## What it does

For each statement period, Lapidar takes every commission line the carriers reported and every policy in your book that owed commission in that period, matches them by carrier and policy number, and classifies each one:

- **Missing**: a policy in your book that owed commission and was not paid on any statement. This is the finding a statement-only review cannot make, because there is no line to look at. Installment policies count only the installments due in the period.
- **Underpaid**: paid, but less than book premium times your schedule rate, beyond a tolerance you set (one dollar by default, or a percentage).
- **Paid twice**: the same amount, installment and transaction type for one policy, more than once.
- **Chargeback**: a reversal or cancellation line, paired with the payment it reverses, on these statements or on statements checked in an earlier run.
- **Overpaid** and **Not in book**: listed for review, because the carrier may take the money back or the book may need updating.
- **Unchecked**: matched, but no schedule rate or premium to compute against; also listed for review.

Policy numbers that differ only in formatting (dashes, spaces, leading zeros after any prefix you list, a renewal suffix such as -01, or a carrier prefix you list) are matched to the same policy. The original numbers are kept on every finding.

The result is a findings page with totals by carrier, a filterable list of every finding with its source lines, a CSV export, and a printable discrepancy report per carrier listing what is owed and why. You can see all of it, with invented data, on the [sample report](https://getlapidar.com/sample-report/).

## Who it is for

Owners, office managers and bookkeepers at US independent property and casualty agencies who receive direct bill commission statements from several carriers and want each month checked without doing it line by line. It is most useful when you have a book export you trust and know the rates your carriers agreed to. It is built for the agency to use itself: sign-up, subscription and support are all online, with no sales call.

## How it works

1. **Create an account** at app.getlapidar.com with your work email or Google. It is free and starts no subscription.
2. **Subscribe** from inside the account when you are ready (founding pilot, below).
3. **Upload your book**: an export from your agency management system, one row per policy, with carrier, policy number, line, new or renewal, and written premium.
4. **Add your commission schedule**: upload it, or type the rates into a table. Each rate is for a carrier, optionally narrowed by line and by new or renewal business; the most specific row wins.
5. **Upload this month’s statements**, as many as you have, as the carriers sent them. If a layout isn’t recognised, you match its columns once and Lapidar remembers that layout.
6. **Run the check** and work through the findings. Mark each one raised or resolved as you go; print or save the carrier report as PDF and send it yourself.

## Supported files

**File types the app accepts today, per file. A file that doesn’t read can be sent to us from the app, and a person looks at it.**

| File | Formats | Notes |
| --- | --- | --- |
| Carrier statements | CSV, XLSX, PDF | PDF must have a text layer (text you can select). Up to 300 pages and 20 MB per file. |
| Book of business | CSV, XLSX | An export from your AMS. Columns are matched once. |
| Commission schedule | CSV, XLSX, or typed in | Carrier and rate at minimum; line and new/renewal optional. |

## What it doesn’t do

- **No AMS integration.** Nothing connects to your agency management system. You export the book and upload it.
- **No OCR.** Scanned or photographed PDFs can’t be read. Ask the carrier for CSV or a text PDF, or send the file to us from the app.
- **No carrier downloads or AL3/XML import.** Statements come in as the files above.
- **No contact with carriers.** Lapidar never writes to a carrier for you. The letter is yours to send.
- **No bank reconciliation, producer pay or accounting entries.** It checks what carriers paid against what they owed, not what reached your bank or what you owe producers.
- **No guarantee it finds everything.** Results depend on your book and schedule being right, and are a starting point for your own review.

## Pricing: the founding pilot

Lapidar is in a founding pilot open to 7 agencies:

- **USD 99 a month** plus any applicable sales tax or VAT, calculated at checkout and billed monthly in advance.
- The pre-tax price is locked for 12 months from your first paid month while the subscription stays active.
- Cancel anytime from “Manage billing”; you keep access to the end of the month you paid for.
- If Lapidar finds no discrepancy (a missing, underpaid or duplicated commission of at least $1) in your first 30 days, we refund your first month on request.

Payments are handled through Link, a Stripe company, as merchant of record. The full offer is in the [terms of service](https://getlapidar.com/terms/) and on the [pilot page](https://getlapidar.com/pilot/).

## Security and your data

Statements and book exports are used only to check your commissions. They are stored on our server in London (OVHcloud), are not sold, shared or used to train anything, and you can export results and delete your data at any time. Some protections are not in place yet, including two-factor login and disk encryption at rest; the [security page](https://getlapidar.com/security/) lists what is and isn’t done.

## Comparing options

Most agencies today reconcile in a spreadsheet, in their AMS, or not at all. We set out the trade-offs plainly in [spreadsheet vs commission reconciliation software](https://getlapidar.com/compare/spreadsheet-vs-commission-reconciliation-software/) and [AMS commission tools vs Lapidar](https://getlapidar.com/compare/ams-commission-tools-vs-lapidar/). Agencies on Vertafore AMS360 can read [how to use an AMS360 export](https://getlapidar.com/for/vertafore-ams360-agencies/). For what a full audit involves, see [commission audit for independent agencies](https://getlapidar.com/commission-audit-for-independent-agencies/).

## Frequently asked questions

### What is insurance commission reconciliation software?

Software that compares the commission carriers paid with what an agency expected from its book of business and commission schedules, and lists the differences: commissions missing, underpaid, paid twice or charged back.

### What file formats does Lapidar read?

Carrier statements as CSV, XLSX or PDF with a text layer; the book of business and the commission schedule as CSV or XLSX. The schedule can also be typed into a table. Scanned PDFs are not read.

### Does Lapidar integrate with my agency management system?

No. There is no AMS integration. You export your book of business from your system as CSV or Excel (.xlsx, not .xls) and upload it.

### Can it find commissions that were never paid?

Yes, as long as the policy is in the book you upload. Lapidar starts from the book as well as the statements, so a policy that owed commission in the period and appears on no statement is reported as Missing.

### How much does it cost?

The founding pilot is USD 99 a month plus applicable sales tax or VAT, locked for 12 months, for up to 7 agencies. Cancel anytime. If no discrepancy is found in the first 30 days, the first month is refunded on request.

### Does Lapidar contact carriers for me?

No. It prepares a printable report per carrier listing what is owed, with the source of each line. You decide what to raise and send it yourself.

### Is it commission tracking software for producers?

Not for producer pay. Lapidar checks what carriers paid the agency. It does not calculate producer splits or payroll.
